Canteen Barossa — Function Hire Terms & Conditions

These terms apply to every private function, group package and venue hire booking at Canteen Barossa. Paying the deposit means the organiser accepts them. Figures in [square brackets] are defaults to confirm before use.

1. Bookings and deposit

1. A booking is tentative until we receive the signed booking form (or online acceptance) and the deposit.

2. A deposit of [25%] of the estimated total, or [$250], whichever is greater, is due within [7 days] of the booking. Tentative bookings without a deposit may be released without notice.

3. The person who makes the booking (the organiser) is responsible for the booking, all charges and the conduct of their guests.

4. The deposit is credited against the final account.

5. All prices include GST and are in Australian dollars.

2. Minimum numbers and final numbers

Booking Minimum

20 guests with basic per person food package or a minimum spend of $1,100.00

1. If the minimum spend is not reached, the shortfall is charged as a room hire fee.

2. Final guest numbers and dietary requirements are due [7 days] before the function. We charge for the confirmed final number, or the actual number on the day if higher.

3. Numbers can rise after the final count only if we can cater for them. Numbers cannot be reduced after the final count.

3. Menus, pricing and dietary requirements

1. Menus and packages are confirmed [14 days] before the function. Dishes may change with seasonal availability; any replacement will be of similar value.

2. Quoted prices are held for functions booked and deposited before 31 January 2027. Later bookings may be re-priced.

3. A 15% surcharge applies on public holidays.

4. We cater for dietary requirements notified with the final numbers. Our kitchen handles common allergens, including nuts, gluten, dairy, egg, soy, sesame, fish and shellfish, so we cannot guarantee any dish is free of trace allergens.

5. No outside food or drink may be brought in, except a celebration cake by prior arrangement. A cakeage fee of $3 per person applies.

6. For food safety, leftover food from packages cannot be taken away.

4. Payment

1. The balance for food and pre-selected drinks packages is due 3 days before the function.

2. Bar tabs and extras ordered on the day are paid before guests leave.

3. One account is issued per function. Split bills for packages are not available.

4. Organisations may apply for invoice terms by arrangement. An approved invoice is payable within 7 days.

5. Cancellations and changes

Cancellations must be made in writing (email is fine). The charge depends on notice given before the function date:

More than 30 days

Deposit refunded in full, or moved to a new date

14–30 days

Deposit kept, or moved to a new date within 3 months

3–13 days

Deposit not refunded

Less than 72 hours

100% of food and drinks packages for the confirmed numbers

1. A date change counts as a cancellation unless we agree otherwise.

2. If we must cancel because of events outside our control (for example a power failure, severe weather or government directions), you will receive a full refund of money paid or a new date. We are not liable for other costs you incur.

3. Nothing in these terms limits your rights under the Australian Consumer Law.

6. Responsible service of alcohol and conduct

1. Canteen Barossa is a licensed venue and serves alcohol in line with its liquor licence and South Australian liquor licensing law.

2. Staff will refuse service to anyone who appears intoxicated or is under 18, and may ask any guest for photo ID.

3. Drinks packages run for the stated time only. Drinks are served one per person at a time; shots and drinking games are not permitted.

4. Food is served with all drink's packages.

5. Guests under 18 must be supervised by a parent or guardian at all times.

6. Management may ask any guest to leave, or end the function early, for intoxication, disorderly or offensive behaviour, or a breach of these terms. No refund applies.

7. Timing, decorations, damage and general

1. Timing. Functions start and finish at the times confirmed. Access for set-up is from 1 hour before start by arrangement. Evening functions finish by 10:00 pm, or earlier if the licence requires it.

2. Music and noise. Music must be kept at a level set by management, out of respect for neighbours and other guests.

3. Decorations. Decorations are welcome by arrangement. Confetti, glitter, scatters, smoke machines, open flames and anything fixed to walls or furniture (nails, tape, Blu Tack) are not allowed. A cleaning fee of $250 may apply.

4. Damage. The organiser pays for any damage, breakage or loss caused by their guests or contractors.

5. Contractors. Outside suppliers (entertainers, stylists, photographers) must be approved by us in advance.

6. Belongings. We are not responsible for items left at the venue, or for loss of or damage to guests' property, except where caused by our negligence.

7. Photos. We may photograph the venue set-up for our marketing. We will not publish photos of guests without their consent.

8. Changes to terms. These terms may be updated. The version current when you pay your deposit applies to your booking.
